1. 01Introduction

   The EIF networking portal is a private platform operated by Energy Investors Forum Ltd.. This policy explains what personal information we collect, how we use it, who we share it with, and the rights you have over it.

   By accessing the portal you agree to the collection and use of information as described here. If you do not agree, please stop using the platform.

2. 02Information we collect

   • Account data: Your name, email address, job title, company affiliation, professional biography, investment focus and the profile photograph you upload.
   • Event data: Your registration or invitation, ticket status and check-in state, which together determine whether you have access to the networking portal.
   • Activity data: Connection requests, meeting requests and the times proposed for them, your stated availability, and messages you exchange with other members.
   • Technical data: Your IP address, browser and device information, and the session records that keep you signed in - including the devices you have active sessions on, which you can review and revoke yourself.

3. 03How we use your information

   We use your information to:

   • Operate your account, your profile and your access to the portal.
   • Introduce you to other attendees, and to carry connection, meeting and messaging requests between you.
   • Send the transactional emails that accompany those events, which you can turn off individually in your settings.
   • Keep the platform secure, investigate reported conduct and enforce our terms.
   • Meet our legal obligations.

4. 04What we do not do

   We do not sell or rent your personal data. We do not share it with advertisers, and the portal carries no third-party advertising or tracking.

5. 05Who we share it with

   Your profile - your name, company, title, location and photograph - is visible to other verified attendees, subject to the visibility setting you choose. You can restrict it to your connections only, or hide it entirely.

   Beyond that, we share data only with:

   • Infrastructure providers: The hosting, database and object-storage providers that run the platform, each under a data processing agreement.
   • Ticketing: Our ticketing system, which is the authority for orders, payments and check-in. It tells us your ticket status; we tell it nothing about your networking activity.
   • Email delivery: The provider that delivers the transactional emails you trigger by using the platform.
   • Law enforcement and regulators: Where we are legally required to, or where it is necessary to protect the rights, safety or property of EIF or its members.

6. 06Retention

   We keep your personal data while your account is active and for as long as we need it to run the event and the platform. You can ask us to delete your account and its data at any time by writing to [email protected]. Some records are kept longer where we have a legal obligation to keep them.

7. 07Security

   All traffic to and from the platform is encrypted in transit over HTTPS. Passwords are stored hashed, never in plain text. Uploaded files are held in private storage and served only through short-lived signed links. Access to production data is restricted to the people who need it.

   We do not claim your message content is encrypted at rest beyond the protections our database and hosting providers apply, and no system is completely secure - we cannot guarantee absolute security.

8. 08Your rights

   Depending on where you live, you may have the right to:

   • Access, correct or delete your personal data.
   • Restrict or object to certain processing.
   • Receive a copy of your data in a portable format.
   • Withdraw consent, where our processing relies on it.

9. 09Cookies and session storage

   The portal sets an HttpOnly session cookie to keep you signed in, and our mobile applications hold an equivalent session token in the device's secure storage. We use no third-party tracking or advertising cookies.

10. 10Changes to this policy

    We may update this policy. We will tell you about material changes by email or an in-platform notification, and continuing to use the portal after a change means you accept the revised policy.
